AI consultancy: How businesses can implement AI securely and effectively
4 November 2026
Most business owners we speak to are not asking whether they should use AI. They want to know where it will make a real difference, and where it could cause problems. That is exactly the right question, and it is where good AI consultancy begins. It starts with your business, not with a product.
AI consultancy starts with your requirements, not the tool
Before we talk about software, we talk about how your business runs. At HFI, based in Fleet, Hampshire, we build a high level understanding of what you are trying to achieve, then look at the technical requirements behind it. Just as important, we are honest about where AI should not be used. Some tasks need human judgement, and some are simply not worth automating.
Once the requirement is clear, the next step is finding the right skills to deliver it. That might be Microsoft 365 expertise, data knowledge or specialist development, and finding the right people for the job is something we do particularly well.
Practical AI use cases for business
The best use cases deliver three things: consistency, accuracy and time saved. Here are some examples of what that looks like.
Quotes. One of our clients was building quotes using several different portals and formats, which created extra work every time. We introduced an automated agent that collects the information and places it into the quote in a consistent format. It does not complete the quote, because a person still reviews it, but it removes a good deal of repetitive effort.
Meeting notes. Microsoft Teams can produce a summary of a meeting with the key decisions and actions, so people in a busy environment can focus on the conversation rather than taking notes.
Document comparison. Checking two versions of a contract, policy or supplier agreement is tiring work, and tired eyes miss things. A well set up tool can compare documents more accurately than a person and flag exactly what has changed.
Helpdesk triage. Incoming support requests can be summarised and categorised, so an engineer sees the key facts straight away instead of reading a long thread.
Email summaries. Outlook can pull together a long email chain before a client call, saving ten minutes of scrolling.
Spreadsheet analysis. Excel can highlight trends and unusual figures in a large report far faster than checking row by row.
Finding answers. New starters can ask a question about a policy or process and be pointed to the right document in SharePoint, rather than interrupting a colleague.
AI governance and risk: How to stay in control
Technology moves faster than most policies. Without clear guidance, staff will often start using free tools on their own, pasting company information into services nobody has approved. We call this shadow AI, and it is more common than most business owners realise.
Good governance does not need to be heavy. It means agreeing which tools are approved, what information can be shared with them, who is accountable and how the results are checked. Written in plain English, it protects your business and gives your team the confidence to use the tools properly.
Microsoft 365 consultancy: Getting ready for Copilot
Copilot is powerful because it works with the information your people can already access. However, that is also the risk. If permissions across SharePoint, OneDrive and Teams have grown untidy over the years, Copilot will happily provide access to documents that certain user groups shouldn’t be able to see.
Readiness usually means:
- Reviewing who has access to what, and removing anything that is no longer needed
- Clearing out old, duplicate or outdated files so the answers are based on good information
- Applying sensitivity labels to confidential data
- Checking licences and confirming your Microsoft 365 setup is in good shape
- Starting with a small pilot group before a wider rollout
If you are not sure what your current licences already include, our earlier article on maximising your Microsoft investment explains the features many businesses overlook, and why they matter before Copilot is switched on.
This is Microsoft 365 consultancy at its most practical, and it is how we guide clients to get real value from 365 and Copilot rather than a costly surprise.
Data security considerations for AI in Microsoft 365
Every new tool is a new place for your data to go. We look at where information is stored, who can reach it and how it is protected, including multi factor authentication, data loss prevention, sensitivity labels and reliable backups. Security should be the foundation, not an afterthought.
Where to begin with AI consultancy
Before any AI tool goes live, it helps to know that your systems, permissions and data are in good shape. That is where our IT experience is most useful, and where a short conversation can save you problems later. If you are curious about AI, or nervous about it, we are happy to listen and offer guidance on the technical groundwork. Whether you are in Guildford, Farnham, Fleet, Horsham or Crawley, across Hampshire, Surrey, Sussex and the South East, or anywhere in the UK, get in touch and we can start there.
